20 Questions to Ask a Venue Before You Book
The venue call is where you find out what the photos don't show. A beautiful gallery can hide a missing practice space, vague pricing, or a team that vanishes once you've paid. These 20 questions surface the things that actually determine whether your retreat runs smoothly. Ask them before you sign anything — and pay attention to how they answer, because responsiveness now predicts responsiveness during your retreat.
Capacity & rooms
- What's your maximum capacity, and how many rooms/beds does that assume?
- What's the room configuration — singles, doubles, shared? How many of each?
- Can guests upgrade to a private room, and what does that cost?
- Is the space ever shared with other groups during a retreat, or is it exclusive to us?
The experience space
- What dedicated space is there for our main activity (shala, meeting room, studio), and what are its actual dimensions?
- Is there reliable Wi-Fi, and where does it reach? (Essential for corporate; worth knowing for everyone.)
- What indoor backup exists if weather disrupts an outdoor session?
Food
- How do you handle dietary restrictions and allergies — and how far in advance do you need details?
- Are all meals included, and can we see sample menus?
- Can you accommodate specific diets (vegan, gluten-free, etc.) without a large surcharge?
Food is one of the things guests remember most, so don't gloss over these.
Logistics & location
- How far is the nearest airport, and do you arrange transfers? At what cost?
- What's included in the per-person price, and what's extra? (Get this in writing.)
- Are excursions and activities available, and are they included or add-ons?
- Is there a dedicated on-site coordinator during our retreat?
Money & terms
- What's the full per-person price, all-in, with nothing left off?
- What deposit is required, and when is the balance due?
- What's your cancellation and refund policy — for us, and for our guests?
- What happens if you can't deliver (double-booking, closure, force majeure)?
These four are non-negotiable. If any answer is vague, slow, or "we'll sort it out later," treat it as a red flag and get everything documented.
